SERVICES/EQUIPMENT PROVIDED


The facilities fee covers room set-up with conference tables and chairs. The facilities are handicap accessible.

HOURS: Normal operating hours are from 9:00 a.m. to 5:00 p.m. The following rates are based on an eight hour rental which includes set-up time. Overtime rates: anything after 5:00 p.m. will be billed at $100/hour.

Set-Up & Equipment: You will be assigned a meeting space based on your contract for the hours specified in the contract. Requests for additional space and/or hours are considered based on space available and are subject to surcharges.

Opening: The facility will be set-up prior to your arrival: Lights, Heating, and Room Set-up.

Meeting Room Set-up: Refer to the floor plan page. Be sure to choose a set-up that remains constant for your group size during the term of your rental. If you would like an alternate set-up, please contact our Conference Coordinator. The SF Bay Room is available for break-out to accommodate continental breakfast, lunch and dinner when not being used as a meeting space. Refer to meeting room set-up diagram for more detailed information.

Building /Grounds Rules: Smoking is allowed on the open porch areas only. Guests are requested to be particularly careful of fire conditions on the property during the dry season. Please remain on the cleared area of the grounds, as there may be poison oak in the underbrush. No furniture may be removed from the building.

Audio/Visual Equipment: Refer to Bay Conference Center Reservation form for daily rates. Please note that some equipment may not be available when another client is using the facility.

Visual Aids Display: You may not use tape, nails, screws, tacks, hooks or other mounting items on BCC walls or woodwork; however clamps and clay adhesive are available upon request.

Electrical Capacity: The six electrical circuits in the building have adequate but limited capacities (1200 watts). The staff will determine which outlet can be used for your equipment. Please do not move or plug in additional equipment without checking first.

Electrical Failure: In case of temporary power loss, emergency lights located at doorways will automatically activate. In this event, please call the staff. During the week from 8:00am - 5:00 pm call (415) 338-3543 or (415) 338-6063. On evenings and weekends, please call the onsite caretakers at (415) 819-2072 or (415) 819-4126.

Temporary Secure Storage: At the end of a session, you may wish to request the staff to lock the coat room and store A-V or other valuable or large equipment. The BCC staff will unlock the room the following morning.

Fire Extinguisher: Fire extinguishers are located on the hallway wall across from the men’s restroom, and on the wall in the South Bay Room next to the sink. The fire/burglary alarm system alerts Bay Alarm and the fire department. If you determine that the alarm has been tripped accidentally please call the staff who will notify security personnel. If there is a fire please leave the building immediately!

Emergencies: Dial 911 from the pay phone or cell phone for fire, ambulance, or police. All other emergency numbers are located on the pay telephone in the lobby.


Catering Services: We do not offer catering services at this time but we can provide you with a list of recommendations.


Closing: Turn off coffee urns and remove plugs from wall outlets. The on-site coordinators will breakdown meeting space upon your departure.


Damages: Any damages incurred during the event will become the direct liability of the organization scheduling the event.


Cancellation: There is a 60-day cancellation policy.
